Privacy

How we handle your data.

Last updated: 20 September 2026. This covers grimwoodgaming.co.uk and thegrimpath.grimwoodgaming.co.uk.

Who we are

Grimwood is a gaming community run by volunteers. These sites are run by the community's founder. If you have a question about your data, message a Grimwood Keeper on our Discord or email grimwoodgamingcommunity@gmail.com.

What we collect, and why

  • When you log in with Discord we receive your Discord user ID, username, display name, avatar and the list of servers you're in (only to check whether you're a Grimwood member). We don't receive your email, password or messages. You can revoke this at any time in Discord under Settings → Authorised Apps.
  • If you're a Grimwood member, The Overseer bot records activity on our Discord server to run The Grim Path: message counts, time in voice channels, reactions, event attendance, and the levels, titles, motes and cosmetics you earn. It never stores the content of your messages.
  • Discord activity status. If you share what you're playing with Discord, the bot may count it, in aggregate only, to show how many members are in a given game right now. Individual names are not shown or stored for this.
  • Nothing else. No analytics, no advertising, no third-party trackers, no fingerprinting.

Cookies

One cookie, gw.sid, keeps you logged in across both sites until you log out, or for a month after your last visit. It is strictly necessary for the members area and The Grim Path to work, which is why there is no consent banner. Your browser may also keep a small local note that you've dismissed our cookie notice. There are no third-party cookies.

What's visible to others

The Standing (the leaderboard) and member profile cards on The Grim Path show your Discord display name, avatar, level, title and earned cosmetics to anyone who can view the page, including the top three on this site's front page. Aggregate numbers (how many members, how many playing) are public. If you'd rather not appear, leave the Grimwood Discord or ask a Keeper to hide you.

Where it lives and how long

Data is stored on a server in the EU rented from IONOS. Activity records are kept while you remain a member of the Grimwood Discord and for a reasonable period afterwards so returning members keep their progress; the event archive keeps entries for one year. Nightly backups are kept on the same server.

Your rights

Under UK GDPR you can ask to see what we hold about you, have it corrected, or have it deleted. Ask a Keeper on Discord or email the address above and we'll deal with it within a month. You can also complain to the Information Commissioner's Office.

Age

Grimwood is an adults-only community: you must be 18 or over to join the Discord, and these sites are for members. We don't knowingly collect data from anyone under 18; if we learn we have, we'll delete it.

Changes

If this page changes in a way that matters, we'll say so on Discord. The date at the top tells you when it last moved.
